About the role
The Workplace Services Team is responsible for delivering people-centred support services, across the following functions: Mailroom and Courier Services, Concierge and Office Services, Building Maintenance and Security.
The role of Workplace Services Assistant is pivotal in creating a positive impression and enhancing the workplace experience.
Reporting to the Workplace Services Manager, you will be comfortable working both as part of a team and independently when required. Your key responsibilities will include managing all incoming and outgoing mail and courier deliveries, setting up meeting rooms along with audio-visual equipment, reporting issues and faults, maintaining kitchens and coffee machine, providing administrative support and assisting with special projects as needed. This is a full-time, office-based role with a flexible roster covering general office operating hours (38 hours per week).
Duties
- Manage and log all incoming mail and courier deliveries.
- Sort and distribute all incoming mail and courier deliveries – point to point desk deliveries.
- Collect and prepare all outgoing mail and courier items.
- Ensure all stationary & paper supplies are topped up at all printers and utility areas.
- Maintain kitchen consumables and cleaning supplies at all kitchen and tea points.
- Setting up meeting rooms for functions and events i.e. moving tables and chairs to required room configurations.
- Delivery and relocation of loose office furniture between floors.
- Working with IT to undertake small internal office moves.
- Providing relief Concierge services as required including answering the switchboard and assisting with visitor management.
- Report and log any faults and maintenance issues and follow up.
Skills
- Ability to interact professionally and courteously with employees, and vendors.
- Patience and problem-solving skills to handle inquiries or complaints effectively.
- Clear and confident verbal communication.
- Strong ability to prioritize tasks, manage stock levels and attention to detail.
- Intermediate Computer skills with SM office apps
- Quick thinking and solution oriented to address unforeseen issues or challenges.
- Comfortable working in fast-paced environment and adapting to unexpected changes.
Experience
- Experience in working in a courier/mail room or similar Logistics environment.
- Hospitality experience is highly valued.
