Executive Assistant (9 Months)

We're looking for a superstar EA toย provide high-level executive support to the CEO, while also enabling operational excellence and commercial administration. This role acts as an organisational โ€œengine roomโ€ ensuring the CEO, ELT, and broader team canย operateย at pace and impact.

The Executive, Operations & Commercial Assistant ensuresย UnLtdย is organised, proactive, andย stakeholder ready. This hybrid role combines executive assistant responsibilities withย commercial administration.ย The EA is the first point of contact for many external stakeholders,ย representsย the CEO with professionalism and warmth, and ensures critical organisational priorities are managed seamlessly. The role requires exceptional organisation, discretion, attention to detail, and initiative.ย To protect focus and effectiveness, the CEO will oversee how this roleโ€™s time and priorities areย allocated. Team members should direct requests through the CEO to ensure the right balance of support across all areas of the business.

1. Executive Supportย (75%)

  • Own the rhythm of the CEOโ€™s week balancing strategic focus, internal meetings, external engagements, and travel. This includes proactive scheduling, prioritisation, and coordination across competing demands, ensuring time is used with maximum impact (includingย workblocks). Manage inbox flow, correspondence, and follow-ups with care and efficiency,ย maintainingย a high levelย of personalisation and responsiveness.
  • Meeting Preparation: Organise agendas, circulate pre-reads, set up virtual/in-person meetings, catering, and technicalย logistics.
  • Board & Governance:ย Manageย meetingย logistics,ย support CEO &ย Companyย secretary on required outputs.
  • Travel & Offsites: Plan CEO and team travel, sourcing competitive rates. Coordinate team offsites including venues,ย logistics, and itineraries.
  • Stakeholder Engagement: Track and manage CEOโ€™s relationships, ensuringย timelyย follow-ups and personalised communication.ย Ensure every attendee from every eventย has a personalisedย linkedinย connection /ย invitation
  • Confidentiality & Judgement: Handle sensitive information with discretion andย maintainย the highest professional standards.

2. Operational Supportย (5%)

  • Information Management: Ensure allย UnLtdย contacts, LinkedIn connections, and CRM records are up-to-date and accessible.

3. Commercialย ad hocย Supportย (20%)

  • Administration: Assist Commercial Director with proposals, contracts, presentations, and reporting.
  • Pipeline Management: Update partnership trackers, sponsorship logs, and commercial activity dashboards.
  • Revenue Support: Provide backend admin for invoicing, reconciliations, and partner deliverables.
  • Stakeholder Engagement:ย Assistย in preparing materials and follow-ups for key partner meetings.

4. Representation & Brand Support

  • Act as a professional and positive face ofย UnLtdย and MOOD across internal and external interactions.
  • Support CEO and marketing with drafting LinkedIn posts, impact stories, and content whenย required.
  • Ensure stakeholder touchpoints are consistent, polished, and aligned withย UnLtdโ€™sย purpose and brand voice.

Qualifications, Skills, Experience & Attributes

  • Previousย experience as an EA, PA, or Operations/Commercial Assistant.
  • Exceptional organisational and time management skills.
  • Strong written, oral, and interpersonal communication skills.
  • Demonstrated discretion, judgement, and confidentiality in executive support.
  • Highly developed digital literacy (Office Suite, Monday.com, CRMs, AI productivity tools).
  • Project management and problem-solving capability.
  • Ability to work autonomously and adapt priorities quickly.
  • Positive, proactive, โ€œcan-doโ€ attitude.
  • Design and presentation skills desirable.
