Job Description

Join Nine Publishing’s Food & Lifestyle Events team as an Event Coordinator, reporting directly to the Event Producer. You will play a pivotal role in bringing high-quality events to life by managing essential logistical and administrative tasks, ensuring every operational detail is seamlessly planned and delivered.

Day to day you will:

  • Maintain accurate project documentation, including production schedules and event timelines.
  • Coordinate event details such as floor plans, run sheets, risk assessments, and permits.
  • Source supplier quotes and manage initial bookings for catering, AV, and staffing.
  • Assist with the styling, set up and pack down of events within our portfolio.
  • Serve as the primary administrative contact for vendors to ensure compliance and insurance.
  • Process invoices and track expenditure to support budget management and reconciliation.
  • Provide on-site support for event execution, including set-up, pack-down, and logistics.
  • Facilitate internal and external meetings by recording and distributing clear action points.

Qualifications

What you'll bring:

  • Prior experience in a support or coordination role within event management or logistics.
  • Exceptional organisational skills with the ability to prioritise tasks and maintain attention to detail.
  • High proficiency in Google Workspace and experience with project management software.
  • Excellent written and verbal communication skills for professional stakeholder interaction.
  • A proactive, self-starting approach to solving operational challenges and taking task ownership.
  • Familiarity with budget tracking processes and coordinating high-volume supplier or vendor relationships.
  • Willingness to work flexible hours, including some evenings and weekends, as required for event delivery.
