Role: Administration Assistant, ANZ
Location: Sydney
Reports to: Executive Assistant to Managing Director, ANZ
What You’ll Do

As an Administration Assistant, you’ll play a key role in keeping our office, teams and leaders running smoothly day-to-day. You’ll be highly organised, proactive and comfortable juggling multiple tasks in a fast-paced, ever-changing environment.
Diary, travel & admin support
- Coordinate domestic and occasional international travel, including flights, accommodation, transfers and itineraries, in line with MiQ policy.
- Prepare and process expense claims, invoices and purchase orders, ensuring accuracy and timely submission.
People & onboarding support
- Coordinate food supply orders for offices across ANZ.
- Maintain up-to-date office contact lists, seating plans and distribution lists.
- Assist in the setup of meetings, town halls and other people initiatives by managing invites, attendance and room/technology logistics.
Systems, data & process
- Maintain accurate digital and physical filing systems, ensuring documents are easy to find and appropriately secured.
- Update trackers, spreadsheets and shared documents to keep information current and reliable for the wider team.
- Identify opportunities to streamline administrative processes and suggest improvements that save time and reduce manual work.
Culture & ways of working
- Champion MiQ’s values in your day-to-day interactions and help create a welcoming, inclusive environment.
- Build strong working relationships across teams and locations, collaborating to “figure it out” when new requests or challenges arise.
- Implement charity/cultural days and drive initiatives in the office
